Receptionist/General Admin Duties

1. Open and close office each day
2. Greet Clients - Have them sign guest book, ask if they are here for a showroom appointment
3. Answer Telephones
4. Prepare outgoing mail, distribute incoming mail, stamp mail
5. Prepare Deposit Daily. If under $1000 and only one check, hold for next day, let Linda know if there is no deposit.
6. Ensure packages left at front desk go to appropriate person (incoming or outgoing) - Notify correct person if not picked up
7. Record incoming cold calls (cold call summary sheet), track them, keep marketing report up to date
8. Update cold call summary sheet (highlight for activity per color code) with follow up information (contact sales rep if not activity after one week), send to Richard, Matt and Mary Ann weekly.
9. Update information in Salesforce and MAS 90 as required from invoices and other sources
10. Generating, bursting and mailing invoices.
11. Mail on a weekly basis items to outlying offices.
12. Prune A/R Binder every other Friday - confirm with Linda that deposits have been posted.
13. Update Salesforce and MAS with updated invoices to ensure accuracy of information.
14. Produce phone log and appointment log reports - email out on Monday
15. Draw down clicks and opens and assign clicks day after each email blast. Be sure to use the excel connector on the RDC to update the lead source on the click-throughs to eBlast Lead.
16. Every other week, use the RDC to access the excel connector and remove the oldest vertical response email tasks - I like to keep 4 email blasts tasks.
17. Clear the VR No Response entries through the RDC - you can do this on the alternate week.
18. Mail and email monthly thank you letters to clients

19. Other duties as assigned
